What is your greatest achivement, and why?
I was recruited by the Singapore Turf Club to lead the full-cycle implementation of the SAP system which involved 3 large entities – Tote Board, Singapore Pools and Singapore Turf Club. This implementation of the new SAP system was to replace the old SAP Finance and Human Capital Management (HCM) system (version 4.6B) which has not been upgraded for 10 years.
I led a team of 12 staff and was in charge of identifying the project key users and additional manpower required to ensure that the normal operational work for the Finance team. During the project, I reported all matters relating to the progress of the project to the Project Director. I provided information on the project with background and analysis of the issues which is valuable for the steering committee, who investigated issues with the project key users and discussed with the system implementer.
The implementation of the project involved SAP Finance (FI), Controlling (CO), Profitability Analysis (PA), Fund Management (FM), Materials Management (MM), Workflow (WF), Governance Risk and Compliance (GRC) and SAP Business Intelligence (BI) modules as well as 2 SAP (HCM) modules – payroll and time management led the SAP Finance project for Singapore Turf Club.
As the volume of items to be budgeted for both operating and capital budget was huge, I managed to streamline the manual process of budgeting and reduce man hours by 15 hours per month. This was done in partnership with the other departments to find out the pains in the budget process and a simple budget template was designed which can be uploaded into SAP.
Under my charge, the manual process of routing purchase orders for approval was also automated. This saved the Singapore Turf Club an estimated $10k a year and also eliminated the risk of the hardcopy purchase orders from going missing.
What has been your biggest failure, and why?
I was tasked to implement 2 modules in SAP (HCM) – payroll and time management. Due to various factors such as change in consultants, poor handover and lack of expertise by the consultants and addition in scope, the implementation of the SAP HCM system project did not go live according to the scheduled timeline and it also exceeded the allocated budget. The vendor eventually pulled out of the project as they were unable to bear the burden of the cost.
We hired a new vendor to take over the project and I ensured that all the requirements were included in the scope of the project. I also ensured that the new consultants had the relevant experience and knowledge to implement the necessary processes required.
I had many discussions with the payroll team and the consultants on putting controls and checks in the SAP (HCM) payroll module to ensure that the overtime calculation is accurate as well as a user friendly screen. This had proved to be fruitful and the automation of the overtime claims was successfully implement. This had saved 9 hours per month on the processing of the overtime and other claims for payment to staff.
